Niyo Payroll : SME business payment

Solution

We worked on 15 user flows and on 100+ screens but for the sake of brevity, I have discussed 3 user flows

User Personas

We had to design for two different personas who have different rights - Payroll approver and Payroll administer

Feature 1 : Creating Employee Accounts

Focused on prioritizing improvement opportunities, creating a new information architecture (IA) and new flow that would accommodate all the required functionalities by the users.
The main flows :

  • Individual employee accounts

  • Bulk employee accounts - adding, updating & resigning employees.

Feature 2 : Payouts to employees

The primary functionality of the portal revolved around payouts, which encompassed various recipients such as individual employees (both single and bulk), vendors, renters, and other clients.

Use case 1: Payroll administer

The user who prepares the accounts and sends request to the head to approve the funding can send either individual file or in bulk and then wait for approval.

Use case 2: Payroll approver

The user who is usually the owner of the enterprise and has the highest level of access, approves the payroll request from the administer and they can even schedule a payment for later (T+15 days)

Feature 3 : Onboarding

This was one of more complex flows due to involvement of multiple use cases determined by the type of entity that was being onboarding LLP, Proprietorship, and others. Additionally, the type of account being created further contributed to the intricacy of the process.
