Contact Verification: Feature that increased recognition by 30%

Context

Yuki is a cloud-based accounting platform helping SMEs and accounting firms across the Netherlands and Belgium automate their financial workflows and eliminate manual data entry to work more efficiently.

Background

I joined the team as UX Designer working on Automated Document Processing—a team that helps in processing thousands of invoices daily.My focus was designing features to eliminate manual data entry and help accountants work more efficiently.

Research problem

We wanted to explore why there wasn’t 100% automation.
One of the top reasons for that was - “Empty contact” i.e. Contact not recognised which was in 20% of the cases. We attempted to find out how to address this challenge.

Designing the Solution

Strategic Approach: Two-Pronged Solution

We appraoched the feature with two ways -

  1. Based on research, I identified two critical touchpoints:

    1. Prevention: Enable users to validate contacts during invoice processing.

    2. Cleanup: Provide tools to fix existing contact database issues

The Challenge: :

Users had years of messy contact data. How do we make cleanup feel manageable, not overwhelming?

The Approach:

  • Provide list of contacts that are not verified but have a replication link to a verified contact from the authorised list provided by the country like KVK/KBO.

  • Provide the details of the verified contact and the impact of the change

Post-release impact

  • Contact data quality improved from 33% to 67% in 4 months.

  • 1M+ contacts cleaned up.

  • Average times the feature is used daily is 1500 times.
